The Mission of the Office Manager:
We are looking for a proactive and highly organized Office Manager to help create an efficient, welcoming, and productive workplace environment. This role is responsible for the day-to-day management of office operations, facilities coordination, reception activities, and team events. You will be a key point of contact for employees, visitors, vendors, and building management, helping ensure that our office runs smoothly and supports a positive employee experience.
This is an ideal opportunity for someone who enjoys wearing multiple hats, solving problems, and building a workplace culture where people can do their best work.
Expected Outcomes:
- Plan and coordinate team events, company celebrations, offsites, workshops, and employee engagement activities
- Manage the day-to-day operations of the office and serve as the primary point of contact for office-related matters
- Support budget tracking, invoice processing, and expense management related to office operations
- Develop and maintain office policies, procedures, and documentation.
- Welcome visitors, candidates, customers, and partners, ensuring a professional and friendly experience
- Coordinate meeting room schedules and ensure meeting spaces are organized and functional
- Act as the liaison with building management, landlords, and facilities vendors
- Contribute ideas and initiatives that strengthen company culture and employee engagement
Qualifications:
- 2+ years of experience in office management, workplace operations, facilities coordination, executive support, or a similar role. Start up experience is a huge plus
- Strong organizational and project management skills with excellent attention to detail
- Familiarity with vendor management, facilities coordination, and office budgeting
- Ability to manage multiple priorities in a fast-paced environment
- Excellent communication and interpersonal skills
- Proficiency with common productivity tools such as Google Workspace or Microsoft Office
- Fluency in English and German
